How document processing became modern input management

Document processing has evolved from rule-based extraction to intelligent input management. Today, documents are understood in context, information is validated, and the next process steps are derived. Buildsimple demonstrates this transformation: from traditional approaches and AI-based SaaS platforms to multi-AI and end-to-end automation. For faster, more reliable, and more manageable processes.

Buildsimple over time

Document processing has changed fundamentally in recent years. In the past, fixed rules, known layouts, and the extraction of individual pieces of information were the focus. Today, it is about understanding documents within the context of a case, validating information, and deriving the next action in the process. For insurers, banks, and other document-intensive companies, this is a strategic development.

It is about speed, quality, and manageability in core processes. A claim notification, a loan application, an email with an attachment, or a change request are often the starting point for important decisions. The faster this information is understood and transferred to the right process, the faster companies can respond.

Buildsimple's evolution shows how traditional document processing became modern input management: from rule-based approaches and AI-based SaaS platforms to multi-AI and end-to-end automation.

Before 2016: Documents were primarily processed using rules and layouts

For a long time, many companies worked with systems that processed documents based on fixed rules or known layouts. The systems learned where information was located, how a document was structured, and which fields needed to be extracted.

This worked well for standardized documents. In practice, however, formats, content, and communication channels became increasingly diverse. Documents looked different. Emails were written more freely. Attachments varied. Customer communication became more diverse.

This created a new requirement: Documents needed to be understood in the context of the respective case.

For IT leadership and operations, this meant that information had to be structured in a way that made it verifiable, processable, and integrable into target systems.

2016: Machine learning and the cloud change the perspective

In 2016, it became clear that machine learning opened up new possibilities for document-based processes. AI approaches could help understand content more flexibly and classify information more effectively.

At the same time, the cloud changed the view of software operations. Individually installed customer solutions could become a platform that is operated, further developed, and scaled centrally.

This was the starting point for a new approach: Document processing should become productive faster, scale better, and give customers more flexibility.

For companies, this step was crucial. Document-based processes needed a reusable foundation so that new requirements could be implemented faster.

2017: Buildsimple is created as an AI-based SaaS platform

In 2017, Buildsimple was founded within ISR. The first prototype focused on extracting information from invoice documents.

What began as a clearly defined use case quickly developed into a broader platform idea. Customer requirements showed that companies need to extract individual pieces of information from documents while also ensuring quality and transferring results into processes.

This gradually turned document processing into input management: the structured path from document intake to the next action.

For our customers, this still means today: documents are processed as part of a case and prepared for the next decision.

2018: Public launch and first proof of innovation

Buildsimple was publicly launched in 2018. In the same year, Buildsimple received the AWS ISV Award 2018 at the AWS Summit in Berlin for the rapid transformation from a consulting-oriented business model to a scalable SaaS infrastructure.

The award was an early signal of the technical direction. What mattered was the development behind it: Buildsimple was conceived as a platform, with reusable functions, governance, and scalability.

What began with just a few microservices developed over the years into an AI-based platform for input management. The platform evolved in line with real requirements from document-intensive processes.

This difference is important for customers. A platform provides reusability, clear management, and a stable foundation for additional use cases.

2019 to 2021: Initial use cases become productive core processes

As the platform matured, Buildsimple was increasingly deployed in productive core processes. Insurers and financial institutions became particularly relevant because this is where high document volumes, sensitive data, and clear requirements for traceability come together.

In these environments, the entire workflow matters: intake, classification, extraction, validation, processing, handover, and monitoring.

This also increased the requirements for security, integration, and operations. Documents had to be processed reliably, traceably, and integrated into existing system landscapes.

For IT and operations, a new benchmark emerged: AI must work in production. With clear roles, stable interfaces, human-in-the-loop, and verifiable quality

2022 to 2024: Multi-AI becomes the operating model

With the development of large language models, AI became more visible in many companies. At the same time, it became clear that productive document processes require different AI methods depending on the task.

High document volumes often benefit from efficient, specialized models. Complex content can benefit from large language models. Rules and validations provide additional assurance. Human-in-the-loop helps improve quality in a controlled manner.

This gives rise to multi-AI: different AI methods work together on one platform, governed through consistent governance, versioning, and quality assurance.

For customers, this is a major advantage. They can use the right AI method for the task, volume, risk, and cost-effectiveness while remaining within a manageable platform framework.

Today: Scaling, quality, and production operations

Today, Buildsimple operates more than 3,500 AI models for customers. On average, the platform processes around 500,000 documents per day. At peak times, nearly 2 million documents have been processed in a single day.

These figures show what modern input management is about: scaling must work hand in hand with security, traceability, and operational reliability. Buildsimple combines specialized AI models, large language models, rules, validation, monitoring, and human-in-the-loop on one platform. The goal is a controlled workflow from document intake to the next action.

For insurers, this can support the handling of claim notifications. For banks, it can accelerate the processing of loan applications. For regulated companies, it can help manage document-based cases in a more structured, transparent, and efficient way.

Outlook: From input management to agent-based processes

The next stage of development goes beyond traditional document processing. Companies want to identify, extract, validate, hand over, and better orchestrate follow-up actions for documents.

This is why end-to-end automation is becoming more important. Ideally, the process ends where the next business action has been properly prepared: review, decision, approval, query, handover, or further processing.

In the future, agent-based workflows can help coordinate recurring process steps more intelligently. This will be particularly relevant where many documents, many rules, many systems, and high requirements for traceability come together.

For regulated companies, one thing remains crucial: speed requires control. Productive AI must remain explainable, manageable, and verifiable.

What companies can take away from this development

Modern document processing is an operational lever. It influences how quickly business units work, how reliably operations manages processes, and how transparently decisions are prepared.

Companies should assess their document processes based on five questions:

  • Are documents understood within the context of the case?

  • Can new use cases be built in a reusable way?

  • Is the right AI method used for each use case?

  • Are human-in-the-loop, versioning, and monitoring in place?

  • Does processing lead to the next action?

The key lever lies in the transition from document to decision. Those who accelerate this transition improve individual work steps and strengthen the responsiveness of the entire company.

Speed starts at the point of process entry

In many companies, documents are the first trigger for decisions, processing, and customer service. When this intake is processed in a structured, validated, and automated way, speed is created where it has an operational impact.

Buildsimple was built along this evolution: from process practice, customer requirements, and the ambition to treat documents as the starting point for actionable processes.

This is how document processing becomes modern input management. And input management becomes a lever for companies that want to make decisions faster, work more efficiently, and scale securely.
